Pitch Pocket is operated by Rebecca King, a sole trader based in the United Kingdom (https://pitch-pocket.com). We provide a web application that helps writers track pitching opportunities, deadlines, and submissions.

This policy applies to visitors of our website, users who create an account, and subscribers to our paid Pro plan. We serve users globally. If you are in the UK or EEA, you have additional rights under UK GDPR and EU GDPR, as described below.

Account data: email address, password (stored in hashed form by our authentication provider), and account preferences such as marketing consent.

Opportunity data: information you add or import into your board — titles, publications, deadlines, notes, links, status, and reminder preferences.

URL import data: when you use AI import, we send the URL (and content fetched from it) to our AI provider to extract opportunity details.

Billing data: subscription plan, payment status, and Stripe customer identifiers. Card details are collected and processed directly by Stripe — we do not store full card numbers.

Technical data: IP address, browser type, device information, and similar logs generated when you use the service (for example through our hosting and authentication providers).

Communications: messages you send to support and, if you opt in, marketing emails we send you.

We use personal data to:

• create and manage your account;
• provide the board, import, reminder, export, and billing features you use;
• process subscriptions and send transactional emails (for example payment receipts);
• send optional product updates if you have given marketing consent;
• respond to support requests;
• keep the service secure, prevent abuse, and fix errors;
• comply with legal obligations.

Where UK GDPR or EU GDPR applies, we rely on:

• Contract — to provide the service you signed up for, including Pro features you pay for.
• Consent — for optional marketing emails. You can withdraw consent at any time in Settings.
• Legitimate interests — to operate, secure, and improve Pitch Pocket, in a way that does not override your rights. For example, fraud prevention and basic service analytics from server logs.
• Legal obligation — where we must retain or disclose data to comply with law.

We use trusted third parties to run Pitch Pocket. They process data on our instructions:

• Supabase — authentication, database, and hosting infrastructure.
• Stripe — subscription billing and payment processing.
• Google (Gemini) — AI extraction when you import opportunities from a URL.
• Netlify — application hosting and delivery.
• Google Fonts — web fonts loaded when you visit the site (your browser may connect to Google's servers).

We may add or change providers as the product evolves. We only share what is needed for them to perform their role.

Some providers are based outside the UK and EEA (including the United States). Where required, we rely on appropriate safeguards such as UK adequacy regulations, EU Standard Contractual Clauses, or equivalent mechanisms offered by our providers.

We keep your account and opportunity data while your account is active. If you delete your account, we delete or anonymise associated personal data within a reasonable period, except where we must retain information for legal, tax, or fraud-prevention purposes (for example billing records).

Marketing consent records are kept for as long as needed to demonstrate compliance. Server logs are retained for a limited period for security and troubleshooting.

Depending on where you live, you may have the right to access, correct, delete, restrict, or object to certain processing of your personal data, and to data portability. You may also withdraw marketing consent at any time.

UK and EEA users can lodge a complaint with their supervisory authority. In the UK this is the Information Commissioner's Office (ICO) at ico.org.uk.

We do not use advertising cookies that track you across other websites. We use technologies that are necessary to run the service, and optional analytics cookies only if you consent.

• Authentication storage — to keep you signed in (for example via your browser's local storage).
• Preference storage — to remember board view and layout choices on your device.
• Analytics (optional) — if you accept analytics in our cookie banner, we use PostHog (EU-hosted) to understand product usage, improve Pitch Pocket, and diagnose errors. You can decline or withdraw consent at any time via Account settings. See PostHog's privacy policy.

When you pay for Pro, Stripe may set cookies on its own checkout and billing pages. We do not control those cookies — see Stripe's privacy policy for details.

Pitch Pocket is not intended for children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.

We may update this policy from time to time. We will post the new version on this page and update the “Last updated” date. For significant changes, we may also notify you by email or in the app.
